Role Overview We’re looking for an Office Coordinator who is eager to learn, happy to roll up their sleeves, and excited to grow with us. This role is perfect for someone who sees every challenge, big or small, as an opportunity to make a real impact. You’ll be the heartbeat of our San Francisco office, owning everything from the front desk experience to facilities coordination, food and beverage, and event support — serving as the go-to point of contact for employees and visitors. Responsibilities
Guest & Visitor Experience Greet employees, clients, candidates, and vendors with a professional and welcoming demeanor. Manage visitor check-in and NDA signing in accordance with security protocols. Maintain a polished, welcoming reception area and ensure the office always reflects a professional environment. Office Operations & Facilities Serve as the primary point of contact for employee requests via Slack, ticketing system, and in person; submit and track tickets to ensure timely resolution. Serve as point of contact for onsite vendors and technicians; escort external vendors (e.g., plumbers, electricians, janitorial) to ensure work is completed correctly. Conduct daily walkthroughs to ensure all spaces — reception, conference rooms, kitchens, and common areas — are clean, stocked, and presentable; coordinate maintenance, cleaning schedules, and general upkeep. Oversee incoming/outgoing mail, deliveries, and package distribution. Support the Workplace Manager with hands-on office tasks, including moves, furniture reconfiguration, and workstation setup. Food & Beverage Oversee all food and beverage ordering, including daily restocks, vendor coordination, and maintaining appropriate inventory levels across kitchens and common areas. Coordinate office meal orders, snack inventory and replenishment, and catering for meetings. Monitor and manage stock levels — tracking, organizing, and replenishing supplies efficiently to reduce waste and align with sustainability practices. Events, Culture & People Support the Workplace Manager with event logistics, planning and executing Gridware events, including setup, vendor communication, and onsite coordination. Partner with cross-functional teams to ensure we support employee experience and culture, including meetings, team-building activities, and celebrations. Partner with L&D on the new hire onboarding checklist in relation to workplace, including day-one building access and meals, office navigation, and general questions. Work cross-functionally with our IT team to support broader events onsite and ad hoc requests.
Required Skills Bachelor’s degree or equivalent experience; 1–2 years in an office, administrative, coordinator, hospitality, or customer-facing role. Excellent interpersonal and communication skills. Excellent organizational skills and attention to detail. Proficiency with Microsoft Office tools, Slack, and similar workplace software. Comfortable in a collaborative environment with the ability to work cross-functionally. Ability to prioritize, problem-solve, and manage time effectively with minimal supervision. Polished and dependable; able to maintain confidentiality and interface with all levels of the organization. Must be able to lift up to 45 lbs.
Bonus Skills Experience supporting a startup or fast-growing company. Experience coordinating office events or workplace programs. Familiarity with office management tools or workplace platforms.
