Responsible for providing administrative support to leasing team members in the Philadelphia Corporate Office. Assist in the preparation and execution of weekly lease committee meetings.
Principal Job Activities
Administrative/coordinator for Real Estate Development is a hybrid role that combines, administrative support/office coordinator manager, to include overall support of Leasing Team.
This role is an essential backbone of the teams core competence, and the coordination of moving parts between, finance, tenant coordination, legal, lease admin and properties. Prepare, format and distribute leasing documents such as LOI’s, lease abstracts, deal summaries and internal reports Preparation and updating of reports and related correspondence for asset reviews on a bi-monthly basis Preparation of Leasing Committee Packages on a daily basis for week committee review, utilizing several management systems Track lease execution and ensure timely completion of documents between legal, asset management and property management Utilizing photo-shop software, updating of site plans, vision plans and marketing collateral for each asset, for prospective tenants and brokers Project management tools such as CRM systems Yardi, VTS, Smart Sheet, Internal Tracking Systems as well as property trackers…etc Track critical dates, such as lease expirations, renewals and option deadlines Schedule and coordinate meeting for ICSC meeting primarily between retailer and Centennial associates Process expense reports, purchase orders for each associated within the Mid-Atlantic team with accounting/finance teams Office supply inventory maintenance, manage vendor relationship for office services Coordinate office maintenance request and liaise with building mgmt. or service provider Support onboarding logistics for new team members, including workspace set up and equipment requirements Maintain organized common areas and ensure overall office functionality and efficiency Assist in planning and coordinating internal meetings, team events and client visits The above job description is not intended to be an all-inclusive list of duties and standards of the position. Requirements
College Degree Preferred 2-3 years experience in Admin Support/Project Management or related industry Self Starter/Self Motivated extremely detail oriented Ability to work in a fast paced office environment Proficient in Microsoft Word, Excel, Outlook Strong interpersonal, oral & written communication skills are essential for this position Must possess strong customer service To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
