NextGen Federal Systems is seeking a highly experienced Operations Executive Assistant to provide senior-level administrative and operational support to our Intelligence Community (IC) customer. The selected candidate will directly support directorate-level operations leadership, ensuring seamless execution of administrative, reporting, security, and travel coordination functions in a fast-paced mission environment.

Responsibilities

Provide senior-level administrative and operational support to directorate-level leadership Serve as a primary administrative liaison for operations leadership and internal stakeholders Assist the customer in meeting office security requirements Review, coordinate, and track internal and external staff clearance and nomination packages Prepare staff summary sheets, Memorandums of Agreement (MOA), operational correspondence, and official documentation Develop and update office-level Standard Operating Procedures (SOPs) Manage Defense Travel System (DTS) travel arrangements and ensure compliance with Joint Travel Regulations (JTR) Maintain and oversee tasking systems, including the Administrative Requirements Tasking System Coordinate in-processing and out-processing for government staff and contractor personnel Manage leadership calendars, schedule meetings, and coordinate conference logistics Coordinate office supply orders and serve as vehicle coordinator, maintaining logs and required vehicle reporting Maintain internal files, classified records, and operational documentation Catalog, file, and track Intelligence Information Reports (IIRs) and operational reporting products Collect and submit Significant Action Reports (SAR) and Weekly Action Reports Disseminate critical operational information to Communities of Interest (COI) Collect and prepare operating reports and track budget expenditures Develop presentations, read-ahead books, charts, graphs, and narrative information for operational reporting Screen incoming correspondence and determine appropriate action Review outgoing correspondence and reports to ensure proper format, grammar, and coordination Support data transfer and removable media procedures in accordance with security protocols Utilize the Aircraft and Personnel Automated Clearance System (APACS) Ensure compliance with the Foreign Clearance Guide (FCG) and coordinate country and theater clearance requests Advise travelers on Combatant Command travel requirements, including official passports and visas Maintain awareness of evolving theater travel requirements and regulations

Qualifications

Minimum of 7 years of administrative experience Minimum of 3 years supporting directorate-level operations Expert-level proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Working knowledge and understanding of DoD processes and terminology Demonstrated experience supporting senior operational leadership in a secure government environment Strong written and verbal communication skills Exceptional organizational skills and attention to detail Ability to manage multiple priorities in a high-tempo operational setting Active TS/SCI clearance required

Desired Experience Experience supporting Intelligence Community organizations Familiarity with DARTS, DTS, APACS, clearance processing, and foreign travel coordination Experience supporting operational reporting and budget tracking functions
