The Operations Coordinator is responsible for maintaining the day-to-day functionality, safety, and professionalism of the workplace. This role ensures the office, lab-adjacent spaces, and common areas remain organized, clean, and compliant with company policies. This individual will regularly walk the facility floors to monitor workplace conditions, support employees and visitors, and coordinate with facilities, security, and vendors to resolve issues quickly. In a small biotech environment, this role is highly visible and critical to maintaining a productive, safe, and welcoming workplace.
Responsibilities
Operational Support Support daily operational activities across Facilities and Operational Readiness programs, including vendor coordination and workplace operations. Track operational tasks, action items, and project deliverables using project management tools (Smartsheet, SharePoint, etc.). Assist with coordination of operational meetings, vendor visits, and facility activities and escalate issues as needed. Maintain organized operational documentation and records. Assist in execution of capital projects, expansions, and buildouts. Support organization of operational files, including safety documentation and compliance records. Prepare reports or summaries related to operational activities when requested. Assist with ad-hoc general operational projects and improvement initiatives as needed.
Requirements
Bachelor’s degree in industrial engineering, Operations Management, Business Administration, or related field preferred or equivalent combination of education and relevant operational experience. 2+ years of experience supporting operations, facilities, EHS, or project coordination. Strong organizational and documentation management skills Ability to coordinate multiple operational activities simultaneously Experience with project tracking tools (Smartsheet, Excel, SharePoint) Strong communication and coordination skills Detail oriented with strong recordkeeping practices Ability to work cross-functionally with multiple departments Familiarity with GMP or regulated environments preferred Key Competencies Organization and process management Accountability and follow-through Operational coordination Communication and teamwork Problem solving and proactive support
Preferred Qualifications (Nice‑to‑Haves) Biotech, pharmaceutical, or laboratory operations environment Experience supporting facility operations or infrastructure projects Familiarity with document control systems and audit readiness
Work Environment & Physical Requirements Prolonged periods of desk work, including computer use and administrative tasks Frequent walking throughout office and facility spaces, including during project coordination and site activities Ability to lift and move items up to 20 pounds (e.g., office equipment, supplies, or materials) Ability to bend, reach, and carry items as needed to support workplace setup and operational activities May require standing for extended periods during moves, setups, or project execution
