Core Responsibilities
- Training Event Planning & Scheduling
Coordinate scheduling of training courses across internal and customer programs Maintain training calendars, resource allocation plans, and instructor schedules Ensure alignment between site-level execution and headquarters training plans Track course capacity, enrollment, and attendance across training events Support long-range planning in coordination with the Mission Training Manager and Training Operations Manager
- Training Logistics & Site Operations
Coordinate all logistics required for training execution, including classrooms, vessels, equipment access, and materials Ensure training spaces are prepared, organized, and ready for delivery Support setup and teardown activities in coordination with Training Technicians Manage on-site flow of training events, including check-in, coordination, and issue escalation Maintain site readiness for concurrent or high-tempo training operations
- Cross-Functional Coordination
Serve as the central coordination point between
Mission Training Manager (site leadership) Training Operations Manager (planning and oversight) Lead Instructors (delivery execution) Training Site Technicians (technical readiness) Training Improvement Specialists (quality and standardization) Communicate schedule changes, requirements, and updates across stakeholders Ensure all parties are aligned on training plans, timing, and resource needs
- Administrative Support & Reporting
Maintain training records, attendance logs, and completion tracking Support data entry and reporting within Learning Management Systems (LMS) and internal tools Generate reports on training throughput, utilization, and scheduling performance Assist with documentation of training events, including rosters, schedules, and coordination artifacts Support audit readiness and compliance documentation as required
- Customer & Participant Experience
Serve as a primary point of contact for trainees during training events Coordinate onboarding, check-in, and day-to-day administrative support for participants Ensure a professional, organized, and high-quality training experience Escalate issues impacting training delivery or participant experience
- Continuous Improvement & Process Support
Capture lessons learned from training execution and site operations Identify inefficiencies in scheduling, logistics, or coordination processes Support implementation of standardized processes and SOPs across training sites Partner with Training Improvement Specialists to reinforce consistent execution practices
Required Qualifications
1–4 years of experience in operations coordination, logistics, training support, or administrative roles Strong organizational and time management skills with ability to manage multiple concurrent activities Excellent communication skills across technical and non-technical stakeholders Experience coordinating schedules, resources, or events in a dynamic environment High attention to detail and ability to maintain accurate records and documentation Proficiency with Microsoft Office tools (Excel, Outlook, Word, PowerPoint)
Preferred Qualifications
Experience supporting training programs, field operations, or customer-facing events Familiarity with Learning Management Systems (LMS) Experience in defense, maritime, or regulated environments Experience working in fast-paced, operational or startup environments

Travel Minimal to moderate travel (0–20%) depending on training site needs and cross-site coordination requirements.
Physical Demands
Prolonged periods of sitting at a desk and working on a computer. Manual dexterity to operate a computer keyboard, mouse, and other office equipment. Occasional lifting and carrying of materials up to 25 pounds. Ability to move between office, classroom, and waterfront training environments
